Entering a Sell

Entering a Sell
On the 'Summary' page each stock has a 'Sell All' and 'Sell Ref' link at the end of it.

'Sell All'
This command gives you the option to sell all the shares held in that company.
'Sell All' takes you directly to the sell transaction form.
The Quantity of shares to sell will be pre-filled automatically and un-editable on the form.

'Sell Ref'
Clicking on 'Sell Ref' will take you to the Holdings page for that stock.


  • Note on selling: Over time you may purchase shares in a company in several chunks. Each of these holdings will probably have a different purchase price. If you use the 'sell all' command on summary page the shares portfolio can average the cost price the whole amount of shares and give you an accurate profit/loss from the transaction; but if you're only selling a potion of the shares, make sure you sell each chunk separately to make up the number sold. If you don't the profit and loss and therefore cashbook balance will be compromised. You must to do this because there may be several share purchases involved and the database cannot guess which ones you have chosen to sell.
Holdings Page
Holdings page lists all the transactions you have made in that company.

To get to the 'holdings' page either, find the stock listing you are interested in on the 'Summary' page, and click on the underlined value in the 'Tot Hold' column; or in 'summary' again Click on the 'Sell Ref' Link found at the end each line.


To select the holding you wish to trade, click on the sell icon at the end of the row. (Remember to check if any of the shares in that holding have already been sold). You can check for sells by referencing the number in front of each transaction in the 'holding table'; Each Buy Transaction generates a unique reference number; sells from that holding will share that same number.

  • 'ENTER A SELL TRANSACTION' FORM

    Date/Time: fields are pre filled but can be altered manually.
    There are two fields at the end of the line that denote hours and minutes.
    The minutes field has to be filled in manually even if it's just with two zeros.
    (The failure to enter values in the minute's field is the most common reason for check form failure)

    Epic: Pre filled

    Quantity:
    'Sell All' command will pre fill this field and prevent alteration.
    'Sell ref' will also pre fill this field but allow you to alter the number of stocks you are selling, So you can sell some of the that share holding.
    Enter the number of shares you have actually or notionally sold.

    Price per share:
    Enter the unit cost of the shares you are selling. The field will be filled automatically with the current bid price but this is editable.
    Note: when a quote appears in the monitor list it is described in pence the decimal point being used to denote fractions of a penny. This is not the case when using the 'Price per share' field. The point should represent the break between pounds and pence. So for example on the monitor a quote of forty two and a half pence would be '42.5', but in portfolio it should be typed in as '0.425'.

    Charges:
    The amount the broker charged you for making the transaction.

    Total:
    The number of shares multiplied by the price per share minus charges.
    (Quantity of shares) x (Price per share) - (Charges). If you leave this field blank and click on the 'Check form' button the total will be calculated for you.

    Description:
    An optional field which allows you to enter extra information about the trade.

    'Check form' button
    When you have finished click on the 'Check form' button.
    If you have filled out the form out correctly an extra button called 'Add sell' will appear, click on this and the sale will be recorded in your portfolio.

    If you have made an error in the total clicking on 'Check form' will automatically correct the mistake and offer you the option to 'Add sell'. So you could just type in any number and let 'Check form' do the calculation for you.
    Make sure you check the total after clicking on 'Check form' in case your own calculations are in error.

    If you have entered inappropriate information in any other field on the form a flashing red arrow will appear against the problematical field.

    If you only sold some of the share holding 'summary' will now have deducted the those shares from the holding. If you sold all of the shares in that particular holding there will no longer be listed in 'summary'.
    In either case, 'Transactions' will now list the sell and the cashbook will now add the cash generated from the sale to it's total.
All buy and sell transactions are listed in order on the 'transactions' page accessible from the portfolio tool bar.
