HP Forms Automation System creates a link between the modern digital world and the oldest and most broadlyused information instruments - the pen and paper. Designed for any organization that uses forms to gather information from customers, employees or partners, the system eliminates costly, time-consuming steps and optimizes productivity. Specific vertical markets that will benefit from the HP Forms Automation System include banking/insurance, healthcare, manufacturing and organizations in the public sector. Never before have companies been able to keep using their existing and familiar workflow with paper forms, but process the data in a matter of hours, instead of weeks.
The HP Forms Automation System is used in three easy steps, which eliminate the need for cumbersome processeslike forms scanning and manual data re-keying.
Step 1 –The user prints out, on demand, a pre-designed form on standard office paper using one of the HP laser printers that supports the HP Forms Automation System. Data in the company database (i.e. the client’s name and address) can be pre-entered during printing to personalize the form and simplify the process for the end user. During the printing process, a very subtle dot pattern is added to the form background. This pattern uniquely identifies the form and its content fields, as the positioning grid is recognized by the HP Digital Pen 200.
Step 2 – An organization’s end user (customers, employees or partners) fills in the fields of the printed form using the HP Digital Pen 200, the same way any other form would be completed. The pen contains ink and a small built-in camera that records the user’s pen strokes and saves them in the pen’s memory.
Step 3 –The HP Digital Pen 200 is placed in a small cradle on the desktop and transmits, via USB to the host PC and then transmits the data to the network application. Once the data is transferred, the complete form is recreated digitally, with a smaller file size than a scanned document. This process also takes significantly less time than scanning. In addition, structured content like check-boxes or radio button choices is immediately available as digital data, and can be sent to business database applications. An optional handwriting recognition module makes re-keying unnecessary. And, companies will have a hard copy document that may be filed and kept by law in certain industries.
The HP Workflow Connect 200, a collection of software components, manages each step of the forms workflow—interfacing the printers, Digital Pens, and enterprise back end.
Five components are central to the Workflow Connect:
- The Digital Layout Designer enables digital transformation of existing forms.
- The Digital Paper Printer Driver prints content together with the dynamic pattern, using select HP LaserJet printers.
- The Digital Pen Download Software transfers information captured by the Pen to appropriate back-end services.
- The Service Controller configures and manages communication between printers, pens, and back end services.
- The Digital Paper SDK provides developmental tools to access information that the Pen captures, pen and user information, and fields and objects defined in the Digital Layout Designer.
The HP Workflow Connect 200 accommodates up to 10,000 end users and 100 requests per second, while managing 25 million dynamic patterned multiple-media-sized pages for seamless service.
